Why a Quotes module inside the CRM

On most CRMs, the quote happens somewhere else: Word, Excel, a separate invoicing tool. The result: the deal and the quote live in two systems that don't talk to each other. Lea builds the quote straight into the deal: line items, client, send history and signature all stay in the same place as the rest of your pipeline.

From finding the deal to the signature

5 steps, without leaving Lea, without a PDF to email back and forth as an attachment.

  1. You link the quote to a deal

    Search for the relevant deal (or the contact, or the organization), the quote automatically inherits the billing details.

  2. You add your product lines

    Title, description, quantity, unit price, VAT. A free-text intro shows above the table to frame your offer.

  3. You set the payment terms

    Deposit as a percentage, installment schedule with dates, accepted payment methods. It all prints clearly on the PDF.

  4. You send the public link

    Your client receives a unique, secure link, no account to create. They review the quote, the PDF is generated on the fly.

  5. They sign, you get notified

    Signature drawn on screen, timestamped. The quote's status flips to « Accepted » automatically, and you get a notification.

Catalog and duplication

Your usual services, without typing them in again.

A quote often looks like the last one. Save a line to the team catalog, then find it again by typing its title: description, unit price and VAT fill themselves in. And when a quote is a carbon copy of another, duplicate it.

  • An item holds a title, a description, a unit price and a VAT rate.
  • “Save to catalog” from any line of the quote, with no settings page to open.
  • The catalog is shared by the whole team, and the invoice editor uses it too.
  • Editing or removing an item leaves every existing quote unchanged: lines are copied, not linked.
  • Duplication carries over the lines, the introduction, the payment terms and the client. The copy starts over as a draft, with its own number and its own link.
  • The signature, the deposit and the reading history are never copied.

Reads and follow-ups

You know when your quote is opened.

Silence after sending is ambiguous: quote unread, or read and buried? Lea records every opening of the public page and alerts you while your client still has the quote in front of them. That is the best moment to pick up the phone.

We record neither the reader's IP address nor their location, and we make no attempt to work out which device they are reading on. What is commercially useful is knowing that someone is reading and for how long, not tracking a person. Since a quote has a single link, if your client forwards it to a colleague the reads add up without being told apart.

  • An alert as soon as a read goes past a few seconds, with the call button built into it if you have the contact's phone number.
  • On the quote itself: number of openings, total reading time, date of the last view.
  • A green dot marking “being read right now” in your quote list.
  • Your own previews do not count: only your client's reads are recorded.
  • Two automatic email follow-ups, at D+3 then D+7, if you switch them on.
  • They stop on their own if the quote is accepted, declined, expired, or if your client has replied to you in the meantime.

Read tracking and follow-ups are included in the Pro and Business plans. Follow-ups are off by default, and switching them on never wakes up your old quotes: each follow-up has a firing window of a few days, after which it no longer goes out.

Numbering

DEV2026001, not an unreadable technical ID

Every quote gets a readable reference, combining a prefix, the current year and a sequential number that resets to 1 each year. The prefix and the year's starting number are configurable by you, so you can carry on an existing numbering scheme if you're migrating from another tool.

  • Default format: DEV + year + 3-digit number (DEV2026001)
  • Customizable prefix (e.g. « QUO » for English-language use)

  • Uniqueness guaranteed per tenant, no duplicates possible even under concurrent use

Electronic signature

Drawn, timestamped, tracked

On acceptance, your client draws their signature with a finger or a mouse, right on the public page. Lea records the signature image, the timestamp, the IP address and the browser used as proof of acceptance (simple eIDAS level).

Signed, then paid

The deposit is collected right after the signature.

The moment a client has just signed is the moment they are most committed. Rather than sending them bank details they will get to next week, Lea offers to settle the deposit straight away, by card, on the same page.

  • You set a deposit percentage on the quote, Lea works out the amount from the gross total.
  • The payment goes through Stripe, on your own account: the money reaches you directly.
  • Lea takes no commission on the deposits you collect.
  • The PDF carries a “paid on” note once the deposit has been settled.
  • The linked deal moves to won automatically on signature, if it was still open.
  • Paying the deposit stays optional: a signed but unpaid quote remains valid and viewable.

The signed PDF ends with a certificate carrying the signer's name, the timestamp, the IP address, the browser and a fingerprint of the document. This is a simple electronic signature within the meaning of the eIDAS regulation, which covers the vast majority of commercial quotes. For a document that would require an advanced or qualified signature, you will need a specialist provider.

Collecting the deposit online is reserved for the Business plan and requires activating your Stripe account, from an Owner or Admin account. The electronic signature, the automatic move of the deal to won and the PDF certificate are themselves included in every plan.

Signed, then invoiced

The accepted quote becomes an invoice in one click.

On an accepted quote, the “Invoice this quote” button prepares the invoice: lines, client and deal are carried over, and the totals are recalculated. You review the draft, then issue it: that is when it gets its number and its Factur-X file.

Lea produces your invoices in Factur-X format, but does not transmit them on your behalf: no approved platform, no e-reporting, no FEC export. For the French B2B e-invoicing reform, you will also need an approved platform. Lea's accounting export is a CSV file.

  • Carried over from the quote: the title, the lines, the currency, the language, the client and the linked deal. The introduction and the notes stay on the quote.
  • A deposit already paid online at signature is recorded as a payment: the balance due is accurate.
  • Factur-X format, EN 16931 profile: a PDF/A-3 that embeds the invoice's structured data.
  • The number is assigned on issue, never at the draft stage, for continuous numbering with no gaps.
  • One invoice per quote: if it already exists, Lea takes you to it.
  • An issued invoice can no longer be edited. To cancel it, you issue a credit note.

Invoicing, the Factur-X format and credit notes are included in every plan. Payment reminders for unpaid invoices, which are off by default, and recurring invoices require the Pro plan. Online invoice payment requires the Business plan, with your Stripe account activated.

Clear payment terms, printed on the quote

Set a deposit as a percentage, an installment schedule with dates and percentages, or a simple list of accepted payment methods. This information displays cleanly on the PDF and on the public page, so your client knows exactly what to expect.
