A lead does not go cold in a day. It goes cold in an hour.
Between the moment someone fills in your form and the moment you call them back, they have had time to fill in three others. The problem is rarely the willingness to call back: it is that the information gets lost in an inbox, under a dashboard, between two meetings. Lea makes an inbound lead impossible to miss.
What happens behind the scenes
There is nothing to set up day to day. The flow fires on its own.
The lead arrives
A web form is filled in, a third-party tool pushes a contact, or someone books a slot. Lea creates the deal and timestamps it.
The lead gets an acknowledgement
If you have turned it on, an email goes out immediately in your name, with the assigned rep's address as the reply-to.
The rep is notified
An in-app notification and an email, with the lead's name and enough to call back right away.
The deal moves to the front
It rises to the top of the priority call queue and carries a visible marker for 48 hours, until the first call.
The triggers
Three ways in, not one more.
Better to know exactly what sets the flow off, so you never have to wonder whether an import is about to fire three hundred notifications.
- A form on your website, connected to Lea.
- The universal inbound webhook, so any tool able to call a URL: Linked Helper, Lemlist, Zapier, Make, your own back office.
- A slot booked through Lea Schedule.
- File imports, the browser extension and the public API trigger nothing: they are not inbound leads in the strict sense.
- Only the creation of a new deal fires the flow. A lead replying on a deal that is already open does not set off another notification.
The acknowledgement email
Off by default, and that is deliberate.
Sending an automatic email in your name changes something your customers can see. We do not turn it on for you: that decision is yours, in the settings.
- It goes out by email, in your organization's language.
- The assigned rep's address is set as the reply-to, so a lead who replies reaches the right person.
- The wording cannot be edited for now: it is supplied and translated by Lea.
- No acknowledgement is sent for a booked slot, which already triggers its own confirmation.
The call queue
Top of the list, then back down.
An inbound lead goes ahead of everything else, but not indefinitely. Its head start erodes hour by hour, which stops a lead from two days ago blocking the top of your list.
- The deal rises above follow-ups, promised callbacks and dormant deals.
- Its priority decays gradually over 48 hours.
- The marker disappears as soon as you log a first call.
- It also disappears if you schedule a callback: the deal has found its place in your calendar, it no longer needs to be at the top.
What it does not do
Speed-to-lead is an alerting mechanism, not an automated follow-up engine.
- No escalation. If nobody calls back, nothing happens: no reminder, no reassignment to another rep, no alert to the manager.
- No SMS, neither to the lead nor to the rep.
- No push notifications, browser or mobile.
- No automatic calls: Lea tells you who to call back, you are the one who picks up the phone.
- No callback-time dashboard. The date of the first call is recorded for the future, but today it is displayed nowhere.
- If the deal has no assigned rep, there is neither a notification nor an email: there is nobody to alert.
- Beyond five leads received at once, the flow does not fire. It is a safeguard against bulk imports disguised as form submissions.
Automation on Pro and Business
Timestamping inbound leads works on every plan, including during the trial: your data builds up from day one. The automation, meaning the acknowledgement email, the notification and the priority in the call queue, is reserved for the Pro and Business plans. The settings are changed from an Owner or Admin account.
